Enhancing Patient Safety, Reducing Costs, and Enabling Greater Compliance
At Akron General Medical Center, a 537-bed facility
 

Ten months after the first implementation, this medical center had put 523 forms in production, printed more than three million pages, and realized tens of thousands of dollars in cost savings on pre-printed forms. As an added benefit, the medical center put all of its forms under close scrutiny: the medical center’s Forms Committee reviewed every form for JCAHO-compliance and duplication. “The conversion process really gave us a great opportunity to get our forms cleaned up,” Edgington adds.

Disaster Preparedness and Disaster Recovery
At John D. Archbold Memorial Hospital, an 800-bed facility in Thomasville, GA
 

Keeping a five-hospital organization running in a downtime situation is the challenge Archbold Memorial Hospital faced when they encountered a scheduled 18 to 24 hour downtime period. They took this scheduled downtime as an opportunity to prepare a solution to deal with unscheduled downtime caused by a disaster and deployed FormFast's downtime system.

"The FormFast enterprise document automation software, including the downtime module, was live in 6 weeks. We had 19 hours of downtime in our system; and we brought it completely up-to-date 2 hours after coming back online. We had no sentinal events, no lost data. We developed a downtime response. We tested it, and it works." explains Bill Zimmermann, VP and CIO, at Archbold Memorial Hospital. "FormFast is a major piece of our policy, and an integral part of our downtime and emergency recovery."

Improving Patient Safety and Admission Processes
At Memorial Medical Center of Ashland and Hayward Area Memorial Hospital
  FormFast has not only fulfilled the hospital's goals for legible, well-designed forms, it has also given them the capability of placing a bar code on each sheet of the patient record. "We use the bar codes for transcription," explains Todd Reynolds, Director of Information Systems and Chief Information Officer at Ashland. "It allows us to electronically archive records and is helping us manage our documents." He continues, "We wanted legible and easy-to-read forms. We also wanted to save time in printing admissions packets with all the data. And we wanted our pharmacy, lab, HIS, and materials management data to all be usable. We wanted one system that could handle all these demands. And FormFast was our answer."

An Automation Revolution
At Capital Regional Medical Center
  Capital Regional’s "automation revolution," which began with the implementation of bar codes, now encompasses the admissions process, clinical records, bedside documentation, and dozens of other clinical and support functions within the hospital. Theirs is a system that seamlessly integrates the hospital’s Clinical, Financial and Transcription software applications with FormFast automated documentation and forms on-demand software. Together, these systems help Capital Region streamline operations, reduce costs and control a documentation system that runs in excess of 500 different forms.

Electronic Forms Improve Patient Care and Save Money
At Florida Hospital FISH Memorial
  There are 3 features of the FormFast system which have really pleased form users: First, that they don’t experience unscheduled downtime for printer maintenance; second, they don’t have to load preprinted form stock, (allowing them the flexibility to print forms singly or in batches; and third, the new work process is exactly like the old one and does not require additional training. Not including the reduced cost of technical support, initial figures showed that after a 6-month pay-back period, the radiology electronic form will save about $2,000 - $3,000 per year, the HCFA 1500 and UB92 electronic forms will save approximately $10,000 per year, and inpatient & outpatient admission electronic forms will save on the order of $12,000 per year, saving Florida Hospital well in excess of $35,000 per year.

Big Solutions in a Big State
At the North Texas Division
of HCA
 

"We looked at our current spending on forms for the Division and then we looked at the process," explains Dwight Peper, Division Director of Contracting and Business Diversity, North Texas Division of HCA, Inc. After careful analysis in the North Texas Division Peper and his team assessed a wide range of vendors. "We decided on FormFast for a number of reasons," says Peper. "But one of the key factors was that we could put FormFast software on our Meditech server."

Cost savings for hospitals in the North Texas Division are already adding up to some impressive numbers. "At one hospital, our admissions packet was costing us about $2.40 per packet. Now that we’re using forms on demand, we’ve reduced the unit cost to about 45 cents per packet without the printed file folder," says Peper. The return on investment is growing as hospitals get the full system up and running. "We have hospitals that claim savings from $60,000 to $100,000 a year on forms," says Peper. And with a dozen hospitals in the North Texas division alone, those per-year savings become even more dramatic.

When Medicare mandated electronic form submission in order to process patient payments, Ledge View Nursing
Center’s manual forms processes became obsolete overnight.
